Preparation of clinical trial contracts on the basis of contract templates, management of the contracting process, maintaining the related information systems up to date and optimization of the contracts process. Purpose:

Preparation of clinical trial contracts on the basis of contract templates, management of the contracting process, maintaining the related information systems up to date and optimization of the contracts process.

This position requires accuracy and sense for details, ability to meet deadlines and manage priorities, and the willingness to work in an environment where individual initiative and accountability to the team are required.

 

Main Responsibilities:

  • Prepare clinical trials contracts by selecting and completing appropriate contract templates in accordance with the details of the contract requests
  • Review and respond to comments made to draft agreements by sponsor and stakeholders (e.g. Legal, Global Drug Safety, Affiliates)
  • Support and participate in contracts negotiations with sponsor in close cooperation with  stakeholders mentioned above
  • Update the contract management tools after every step of the contract process in coordination with the other members of the team
  • Prepare, edit and version control of contracts, use appropriate templates and enter the specificities of each contract request in the contract templates
  • Ensure accurate and consistent version control of the contracts
  • Ensure that each contract request has appropriate detailed approval documentation in the relevant share-folders in accordance with the applicable procedures (e.g., SOPs)
  • Appropriate, diligent, professional internal and external communication with all stakeholders in coordination with other team members
  • Ensure in coordination with the other team members that:
    •  Each contract is entered in the financial system and that appropriate codes are created
    •  Each final contract follows the appropriate internal approval and signature flow in accordance with signature policies
    • Sponsors and affiliates send back fully executed contracts timely to the Contracts Team
  • Help the administrative assistant file the fully executed contracts with all required documentation in the appropriate files and databases within required timeframes
  • Maintain the contracts and archives files and related databases proactively and accurately up to date in order to ensure the systems’ capacity to provide real-time information
  • Contribute to continuous improvement of the contracts process. Participate actively in initiatives and projects which aim at optimizing the contracts process and tools and harmonizing the same within Medical Affairs Operations HQ, affiliates or the rest of the Company
  • Provide expert advice about the contracts process as needed to senior members of Medical Affairs Operations, or personnel of Medical Affairs or other functions (e.g., Legal, Global Drug Safety and Risk Management)
  • Provide administrative and project management support to senior members of the Contracts Team

 

 

Qualifications and Experience:

  • Degree or equivalent professional experience in law or life sciences area is desirable
  • Familiarity with the pharmaceutical industry¸ healthcare compliance, Principles of Good Clinical Practice, regulations and regulatory guidelines regarding clinical trials and non-interventional studies
  • Understand the drug development process
  • Understand of the basic principles of contract law and contracts and budget review
  • Ideally also prior experience in drafting, reviewing or negotiating contracts
  • Attention to details
  • Excellent verbal and written communication skills
  • Negotiation skills
  • Facilitate communication and discussion between stakeholders
  • Knowledge of databases including budget management tools
  • Self starter / proactive / Sense of urgency
