We have a current opportunity for a Senior HR Administrator to join our busy team based in Covance's Maidenhead office. Supporting the Director, Human Resources CDCS and working with his team across UK, Ireland and Europe, you will be a vibrant, self-motivated, process driven self-starter, possessing proven ability to deliver in a fast paced, high volume environment. Acting as the interface between line managers, employees and HR Managers with straightforward generalist queries, assisting employees and managers on HR processes, policies & legal regulations. 

The ideal candidate will have HR Administration eaxperience in a corporate environment, be people focused, professional and friendly, possessing great attention to detail, accuracy and confidentiality; these are a must for this exciting new role. We are looking for candidates who are ambitious and want to progress their career within the HR department, whilst also having the ability to tackle everyday tasks such as filing with enthusiasm! About the job:

  • Coordinate and administer the Leave of Absence processes (maternity, sick leave, unpaid leave)
  • Ensure all paper-based and electronic employee records are accurate and filed on a regular basis and in accordance to the local laws and established filing protocol
  • Liaise with HRIS, Reward and Benefits and Global People Services groups within HR
  • Work with Payroll to meet deadlines; co-operate with Recruitment and Talent, Finance and Payroll to ensure the correctness of payroll data (double checking if all HR transactions e.g. new hires, merits, bonuses, etc.) are accurately reflected
  • Research legislation changes; suggest changes to the existing processes if applicable
  • Propose, write and update HR policies and procedures and standard communication letters
  • Provide standard HRIS reports to Business Unit Managers and HR Managers. Reconcile and interpret data and resolve queries/issues for the HR Managers as appropriate
  • Liaise with managers regarding the leaver process, prepare leaver documentation and communication, coordinate and administer the exit process 
  • Advise new starters at new starter welcome meetings and become their initial link with HR; deliver HR Administration content to local new hire induction days if applicable
  • Prepare documentation for promotions, probationary periods, transfers and other changes; proactively contact Line Managers to remind them about the transactions, ensuring the documents are collected, content verified and highlighting the potential employee or employment issues to HR Director
  • Administer reference letters – mortgage, rental, ex-employees
  • Contribute to and implement improvements to HR processes within Covance
  • Support the PMD process with guidance from HR Manager including providing advice to managers on forms and processes, logging and review forms, producing reports on figures and any other associated duties
  • Initiate PeopleSoft audits, identifying and resolving the potential mistakes
  • Induct, train and support new HR Administrators
  • Perform other duties as assigned


 

About you:

  • Required: Higher education in the related field (e.g. Administration, Human Resources, etc.) 
  • Preferred: Formal HR Administration qualifications/title
  • HR Administration experience in a corporate environment
  • Excellent computer skills: Word, Excel and Powerpoint
  • Ability to work in a confidential, professional manner under minimum supervision
  • Flexible, adaptable and ability to use initiative
  • Strong administration skills with excellent attention to detail
  • Customer focused with good communication skills
  • Team player
  • Good knowledge of internal HR policies & procedures (applicable for internal candidates only)
  • Awareness of relevant employment legislation 
  • Ability work professionally with all management levels within the business
  • Experience with Employee Information Databases would be an added advantage
  • Excellent English, both written and oral
