 Job Purpose

• To maintain the UK, Ireland, Nordic’s, Spain, Portugal, South Africa, Middle East and MISSA Middle East database master files in JD Edwards 8.12, JDE Edwards 7.3 and SAP P01 in line with the requirements of the Franchises, European and Corporate directives

• Providing database support across all franchises within UK, Ireland, Denmark, Finland, Norway, Sweden, Spain, Portugal, South Africa and UAE.

• Responsibility across multiple locations within countries listed

Main Responsibilities

Day to day DBA requests include the following

• Maintenance of customer data on JD Edwards 7.3

• Maintenance of product data on JD Edwards 7.3 and 8.12 virtual, consignment and equipment branch plants as well as SAP P01 material activations and material code classifications - all impact pricing driven by code categorisation, VAT calculation and BI integrity

• Base Price maintenance including annual mass updates in 7.3, 8.12 and SAP P01

• Addition and removal of local restrictions

• Maintenance of Item Alternative Descriptions

• Maintenance of Item X-References

• Review and confirmation of ICPs loaded to ensure financial data integrity before product activation

• Supplier Price maintenance for direct shipments (MISSA Exports)

• Maintenance of OCD Standard Costs / ICPs (Nordics)

• National Joints Registry set-up of product and customer

• Check completeness & integrity of employee & customer addition & changes

• Maintenance of sales hierarchy and territory allocations on 8.12 and Synthes P01

• Maintenance of supplemental database for Business Intelligence interfaces from 8.12 JDE to Beacon COGNOS

• Follow up on Not Classified sales in the Beacon BI solution for misaligned or missing sales territory allocations

• Setup and maintenance of Esy Response order acknowledgement system

• Preparation of GHX & GFax e-catalogues

• PEI distributor shipment commissions and errors

• Use of data interrogation software (Data Browser/Insight/SQL)to verify integrity and accuracy of data set-up

• Creation of reports to identify data integrity issues

• Resolve integrity issues through engagement with responsible teams

ES&P Standardisation

• Involvement in and driving standardisation, process improvement and sharing best practice across the cluster and wider J&J Medical Devices data teams

• Understand a range of business processes and requirements to be able to assess new set-up requirements

CIGNON Workflow

• Application and process SME providing first line support to users

• Training user community in CIGNON processes

• Involvement in future development of workflow processes to drive efficiencies through process improvement using CIGNON application by implementing best practices

• Review and verify ticket creation accuracy in CIGNON before progressing workflow to subsequent stages

• Confirm approvers for CIGNON system and update access accordingly

• User administration of CIGNON application for new starts and terminations


• SOX edit audit reviews – list price and item codes

• Proactively contribute to maintaining and improving a strong internal control environment and performing SOX testing as required by Compliance

• Identifying risks and proposing potential solutions

• Cooperation during CIA and PWC audits (and any others), as required

• Documenting SOPs and preparing and updating work instructions for all existing and new processes at least annually

• Compliance with the rules of business of Johnson & Johnson expressed in the ‘Policy of Business Conduct’, ‘HCBI’, ‘IAPP’ and ‘Our Credo’

• Compliance with safety rules

 Main Responsibilities

• Compliance with J&J Records Retention rules in the management of documentation in close cooperation with Global WWRIM

• Seek regular feedback from stakeholders on team performance and adherence to SLAs

• Proper management of entrusted equipment and advertising materials

Knowledge / Experience / Skills required

• Degree / Professional qualification preferred

• High degree of computer literacy

• High level of JDE knowledge and other relevant systems eg. Cognos, Insight reporting, SAP, SQL, Excel

• Proven strong customer focus

• Team player

• Accuracy / Attention to detail

• Good communication skills

• Strong continuous improvement mindset

Assignment and Planning of Work

• Work is mainly generated from the people / teams / departments listed in section 7 below. It is of an ad-hoc nature, and it is the responsibility of the jobholder to prioritise and plan the work, usually according to business requirements. The jobholder works alongside other fulltime Database Analysts and it is their joint responsibility to ensure that the workload and knowledge is shared equally

• Some work will be of a project nature, and should be planned according to project timelines and deliverables

• Aim to complete each task within agreed SLA - if tasks cannot be completed in said time then notification needs to be sent to request originator

• Work will be allocated from tickets raised using the CIGNON workflow application

• Backup for team members regardless of location in times of absence or high volume of work must be undertaken or agreed, seamlessly for the business
