Job Summary:

Overview The Payroll Specialist (PS) is responsible for the timely and accurate processing and administration of the Company’s regularly scheduled payroll in accordance with the legal requirements of his/her certain jurisdiction.  The PS is also responsible for processing on demand and termination paychecks. The PS is the custodian of the gift cards awarded to employees as part of the Company’s rewards and recognition program and for reconciling the gift cards awarded.

The Payroll Specialist (PS) is responsible for the timely and accurate processing and administration of the Company’s regularly scheduled payroll in accordance with the legal requirements of his/her certain jurisdiction.  The PS is also responsible for processing on demand and termination paychecks. The PS is the custodian of the gift cards awarded to employees as part of the Company’s rewards and recognition program and for reconciling the gift cards awarded. The PS is the Plan Administrator of the Company’s 401k retirement plan. 

 

Responsibilities

  • Establish employee record in applicable timekeeping system.
  • Send timesheet completion reminders to employees on each of the two business days prior to processing payroll.
  • Prepare and transmit bi-weekly payroll; ensure timesheet submission, process file uploads in applicable systems, perform necessary adjustments, and review payroll register for accuracy.
  • Transmit Health Saving Account (HSA) withholdings and 401(k) deferrals/loans/employer match to the plan custodians.
  • Process applicable deductions as necessary; leave of absence, garnishments, tax withholding, gift card taxes, and other as locally required.
  • Calculate and prepare manual checks; final pay, discretionary bonuses, incentive compensation/commissions, employee referral bonuses and other as requested.
  • Keep custody of gift cards and distribute to awarded employees with prior approval. Keep signed copies of gift cards acceptance forms and perform reconciliation at month end.
  • Establish U.S. business/payroll taxes for new locations; obtain license requirements,   tax identification numbers, unemployment account numbers and mandated tax withholdings.  Terminate locations as appropriate.
  • Respond to payroll related tax notices from local/state/federal agencies.
  • Serves as liaison for audits related to payroll, workers compensation, and other as required.
  • Audit payroll data prior to quarterly tax filings.
  • Audit payroll data prior to year end W-2 and W-3 tax filings.
  • Act as the Plan Administrator for the retirement plan. Ensure that forms with the Department of Labor are filed in a timely manner. Coordinate the annual plan audit and gather information requested by the auditors.
  • Process U.S. unemployment claims.
  • Perform filing/file maintenance.
  • Prepare the Company’s Annual Holiday Schedule, Payroll Calendar and Timesheet Schedule, as locally appropriate.
  • Stay abreast of changing legislation and ensures legal compliance in regard to payroll administration.  
  • Stay abreast of associated policies and procedures; able to advise others.

Qualifications

Academic & Professional Qualifications:

  • High school/secondary level education and a minimum of 4 year’s relevant experience. College studies or applicable bachelor’s degree is advantageous. 

Skills & Experience:

  • Clerical/secretarial/administrative/office operations.
  • Fundamental understanding and application of the Human Resources body of knowledge is advantageous.
  • Intermediate/Advanced skill level in Microsoft Office; Word, Excel, PowerPoint, Outlook as required.
  • Technically capable of learning new, or advancing knowledge of, systems and software.
  • Effective verbal and writing skills; English + local language, if relevant.
