We are recruiting for our Facilities team in Warsaw and are currently seeking to hire a Receptionist to help support the team with reception management.

This is a permanent, full time position, based in our Warsaw office.



1. Reception management:

  • Answering and transferring incoming phone calls, receiving daily post mail and courier parcels.
  • Greeting guests, keeping Visitor Log Book and making sure conference rooms are booked and prepared for the visit. -If needed and if agreed with clinical assistants – helping with catering and other visit related matters (e.g. hotel, restaurant, taxi booking etc.).
  • Monitoring incoming faxes and distributing to proper recipients.
  • Being the point of contact for external services deliverers: technical department of the building owner, printing machines services delivery (if machine`s out of order, informing the service company about the problem and making sure it`s solved with their help).
  • Helping clinical assistant`s with ancillary supplies ordering at local printing vendor, processing the invoices after. 

2. Administrative support and back up to the Facilities Department:

  • Supporting Senior Regional Facilities Manager CEE in the Regional Projects with administrative tasks Supporting Facilities & Office Coordinator in Warsaw with local projects and administrative tasks (ie. office supply, stationery, corporate credit cards, travel agency, invoice processing, cleaning services, technical tasks with Landlord, entry access cards, company cars support, 
  • Supporting the Baltics countries (Lithuania, Latvia, Estonia) employees and the Country Head with the administrative tasks.
  • Managing and processing invoices for e.g. office supplies, health & safety services, telecoms etc.
  • Ordering – in cooperation with the Country Head – IT tools such as: all-in-one printers, phones etc.
  • Helping with any events organization e.g. managers trainings.



  • Min. high school graduate
  • Higher education is welcomed



  • A couple of years of experinece in running Reception and Administative tasks in an international, matrix organisation is required.
  • Very good command of English (speaking, writing, reading) AND fluent Polish are a must.
  • Very good communication skills
  • Very good cooperation with external & internal client
  • Good organizational skills, openmindness, flexibilty, proactivity
  • Computer literacy in MS Windows & MS Office environment
