The Personal Assistant (PA) to the General Manager & Functional Leadership Team is responsible for the smooth running of all areas within the General Manager’s Office, including the co-ordination and management of administration for members of the Functional Leadership Team.

Job purpose:

You will be the primary contact for the General Manager’s Office, support for the GM and Functional Leadership Team on travel, diary management, expenses and regular internal communications.

Key Responsibilities:

- Diary Management for GM and Functional LT
- Calendar oversight for the Academy (not operational oversight)
- Booking travel and itinerary management – liaising with external suppliers
- Organising cost effective travel & meetings (townhalls, offsites, conference)
- Preparation of GM communications e.g. Blogs, weekly newsletter, people announcements
- Respond/action/delegate GM and Functional Leadership Team requests
- Invoice management and tracking for Functional Leadership Team
- Expenses preparation for Leadership Team and General Manager
- Co-ordination of Senior Management meetings, including minute taking and action tracking
- The balancing of priorities for GM & Functional Leadership Team within Alcon to enable optimal management team communication, co-ordination and performance
- Co-ordination, prioritisation and management of selected projects

Minimum requirements

The ideal candidate will have:

• OCR Secretarial/Administration qualification or equivalent
• Keyboard Skills Fluency in English (high standards of verbal and written English required) Any other European language would be an asset
• Proven experience working as a Personal Assistant /Secretary in a fast paced management office
• Integrity: Ability to demonstrate extreme trust and diplomacy in confidential and highly sensitive situations
• Track record of firm cost control management
• Experience in taking meeting notes/short hand
• Proven experience in developing and establishing successful key relationships and delivering excellent standards of customer service
