Job Details:

The Clinical Site Payment Specialist is responsible to manage clinical site payments from contract execution through reconciliation.

Main responsibilities include:

  • Manage appropriate prioritization of executed Clinical Study Agreements (CSAs) to enable efficient entry of contract terms and budgets into the appropriate finance system.
  • Establish and maintain relationships with accountable country SMM, Contract Management Specialists & Assistants and affiliate Financial staff. Provide direction for budget development, contract mapping and invoice processing questions in relation to the payment process.
  • Manage the purchasing process within SAP at the affiliate level for clinical site contracts.
  • Apply critical thinking skills to resolve any payment issues that arise by interacting with the sites, SMM staff and affiliate finance.
  • Liaison with SMM, Legal and finance to ensure Subject Injury payments can occur.
  • Monitor inflation rates via the Consumer Price Index (CPI) and make adjustments within the payment system to allow for appropriate payment per contract terms..
  • Conduct final site payment reconciliation monitoring.
  • Perform independent review of FMV escalations for CSA Budgets per compliance monitoring plan and escalate findings as necessary.
  • Identify risks and trends that may be noted during contract mapping, invoice creation, payment processing and reconciliation and develop a mitigation strategy to be shared to minimize errors across studies and countries.
  • Develop best practices and make recommendations to leadership for process improvements.
  • Support CMG contract / budget administration as needed and as availability allows.

 

Eligibility/Qualifications/Requirements

The ideal candidate will need the following experience / skills to be considered:

  • Successfully completed secondary education.
  • 2 years’ experience as an assistant, ideally in the field of clinical studies, medicine or Pharma-industry and interest in economic and finance-related data strongly preferred.
  • Proven experience working in CRO environment.
  • Experience in budget and/or payment processes in clinical trials would be an advantage
  • Contract mapping experience
  • Excellent Microsoft Office skills, particularly Microsoft Excel
  • Demonstrated customer services expertise including good written and verbal communication skills.
  • Written and verbal fluency in English and Polish
  • Excellent planning and organizational skills and the ability to work effectively and efficiently in a dynamic, fast-paced environment.
  • Critical thinking and orientation to details are mandatory
  • Experience in Quantum and GreenFire systems would be preferred
