Job Summary:

Operate as the focus for communication and provide essential general support services. Assist in the smooth running of the Business Development Department through providing administrative support to the European Business Development Directors/Executives and to the Executive VP, Clinical Development and other departments as required.

Requirements:

Responsibilities

Covering the main reception and associated duties such as transferring calls, greeting and dealing with visitors, distributing post and deliveries arranging couriers, and booking taxis when required for departing visitors

Arranging hotels and local transport for Pharm-Olam visitors when required

Arranging UK office events when required

Ordering and maintaining a good stock of all stationery/kitchen supplies for the UK office

Reviewing and analyzing costs of agreed UK suppliers when required

Providing facilities support for the Pharm-Olam UK office

Involvement in Health & Safety and Emergency Procedures

Support the European BD department, coordinating logistics for all team members attending bid defense meetings, coordinating the organization of internal & external meetings, booking travel, hotel accommodation, conference rooms etc

Assisting with completion and submission of expenses claims for the UK BD department

Maintaining the following documents for the BD department: organization charts, contact lists, Holiday charts

Provide general admin support to the EVP, Clinical Development

Assist EVP, Clinical Development with preparation and presentation of the quarterly staff meeting

Assisting other departments if required and present workload permits

Any other duties if required.

 

Working relationship:

Reporting line to the Senior HR manager

Support the European BD team

Support the VP, Clinical Development

 

Qualifications:

Excellent communication skills

Good planning and organisational skills

Advanced IT skills with a good knowledge of Word and Excel and a working knowledge of Powerpoint

Attention to detail.

Targeted annual gross salary: 25 000 - 30 000 GBP + benefits.
