Our mission is to support the innovation and development of better therapies in healthcare.   Position Overview The Office Coordinator is responsible for ensuring efficient local front desk reception services. She/he acts as a local point of contact within an international context for internal and external stakeholders such as the HR and Finance department, external vendors and Belgium based employees.   Specific tasks would include:

  • Ensure continuous front desk reception services during business hours: greet visitors and notify appropriate employees of arrival, issue badges, answer phone calls and route them accordingly
  • Arrange travel and accommodation for employees, visitors and guests such as hotel arrangements, car services, etc.
  • Is responsible for purchasing related tasks: office supplies, floral arrangements, business cards, training program registrations (schedule, costs, approval, registration), catering orders and others as appropriate
  • Coordinate delivery and pick-up of (overnight) shipping services and prepare shipping labels
  • Act as the local point of contact for the Belgian entity and office related requests and route them accordingly
  • Process administrative tasks that may include but are not limited to: preparation of documents, spreadsheets and presentation materials
  • Assist the international accounting department: expense reports, vouchers, shipping statements, invoices, etc.
  • Ensures proper maintenance and inventory levels of mailroom, furniture, equipment, kitchen/break rooms/conference rooms
  • Handle responds to building safety / repairs / maintenance requirements (routine and ad hoc)
  • Provide local support with the onboarding of new employees
  • May perform other duties as assigned
  • Assist the international HR department: payroll preparation, maintenance of local HR files (status change, tax change, FTE change, etc.), maintenance and overview on local employee´s timekeeping / vacation days
Qualifications
  • High school/secondary level education and a minimum of 2+ year’s relevant experience or equivalent combination of education and experience
  • Experience with vendor communication / negotiation and purchase order placements
  • Experience in routing invoices and expense reports and cooperating with an accounting department and additional internal and external stakeholders
  • Previous experience from a multi national work context
  • Highly effective verbal and writing skills
  • Good working proficiency in Microsoft Word, Excel, and PowerPoint, Outlook
  • Must have: fluency in English, Dutch and French
